1. Who We Are

Agenticrew AI ("we," "us," or "our") operates Birdie Club AI ("the Service"), a golf club management platform. This Privacy Policy explains how we collect, use, and share information when you use the Service.

2. Information We Collect

We may collect the following categories of information:

  • Account information — name, email address, and authentication identifiers provided through Clerk when you sign up or sign in.
  • Profile and golf data — display name, photo, handicap, golf bag details, round history, scores, and other information you choose to add to your profile.
  • Club and event data — club memberships, event RSVPs, tournament scorecards, and content you create as a club member or administrator.
  • Uploaded images — photos you submit for AI features (e.g., scorecard photos, swing videos or images, headshots for avatar generation).
  • Usage and device data — pages visited, features used, approximate location derived from IP address, browser type, and similar analytics collected through Vercel Analytics and Speed Insights.
  • Communications — messages we send you (e.g., onboarding or transactional emails via Resend, when configured).

3. How We Use Information

We use collected information to:

  • Provide, maintain, and improve the Service
  • Authenticate users and secure accounts
  • Process AI requests (scorecard parsing, swing analysis, avatar generation)
  • Facilitate club membership, events, and RSVPs
  • Send service-related communications
  • Monitor performance, fix bugs, and prevent abuse
  • Comply with legal obligations

4. AI & Image Processing

When you use AI features, images you upload are transmitted from our servers to Google's Gemini API for processing. We use structured prompts and do not sell your images to third parties. Google's handling of API data is governed by Google's applicable terms and policies. AI outputs are returned to you through the Service and may be stored in your account history where applicable.

Do not upload images containing sensitive personal information unrelated to golf unless you are comfortable with server-side processing as described above.

5. Sharing with Service Providers

We share information with trusted vendors who help us operate the Service:

  • Clerk — authentication and session management
  • Firebase / Google Cloud Firestore — database storage for profiles, clubs, events, rounds, and related data
  • Vercel — application hosting, analytics, and performance monitoring
  • Google (Gemini API) — AI processing of uploaded images and text prompts
  • Resend — transactional and onboarding emails (when enabled)

These providers process data on our behalf under contractual obligations. We may also disclose information if required by law or to protect the rights, safety, and security of our users and the Service.

6. Data Retention & Deletion

We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account and associated personal data by contacting us at the email below. Some data may persist in backups for a limited period or where retention is required by law.

7. Your Rights

Depending on your location, you may have rights to access, correct, delete, or export your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at privacy@agenticrew.ai. We will respond in accordance with applicable law.

8. Cookies & Similar Technologies

We and our providers use cookies and similar technologies for authentication (via Clerk), session management, and analytics (via Vercel). You can control cookies through your browser settings; disabling cookies may limit certain features of the Service.

9. Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us so we can delete it.

10. International Transfers

We are based in the United States and process information on servers that may be located in the U.S. and other countries. By using the Service, you consent to the transfer of your information to jurisdictions that may have different data protection laws than your country of residence.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page with an updated date. Material changes may also be communicated through the Service or by email where appropriate.
